Online maintenance record
Your car's maintenance record, online and free
An online car maintenance record replaces the manufacturer's paper record: you log every service entry (oil change, belt, brakes, MOT) with its date, mileage and invoice. WheelTrust lets you create it for free, with nothing to install, and share it with a simple link when you resell.
What an online maintenance record is
It is the same document as the paper record in your glovebox, except it lives on a server instead of on paper. You open your vehicle's record, add a service entry, attach the invoice, and the line is dated for good.
The difference comes down to one word: proof. Paper records. The online record records too, keeps the supporting document attached to the line, and passes on to the person who buys your vehicle.
| Criteria | Paper record | Online record |
|---|---|---|
| Loss or damage | Final: it only exists in one copy | Nothing to lose, everything is backed up |
| Readability | Depends on the mechanic's handwriting | Always readable |
| Proof at resale | A handwritten line, with no supporting document attached | Every service entry carries its invoice |
| Sharing | You have to hand it over or photocopy it | A link to send, your account stays private |
| Mileage | Written by hand, often forgotten | Logged at every service entry, visible graph |
What you can log
Maintenance service entries
Oil change, brake pads and discs, timing belt or chain, tyres, annual service, one-off repair. Every service entry carries its date, mileage and who carried it out, garage or yourself.
Invoices and documents
You photograph the invoice or add the file, and it stays attached to the matching service entry. Vehicle registration certificate, proof of insurance, MOT report: everything sits in one place.
MOT and upcoming deadlines
You log the date of the last MOT, and the next deadline is tracked for you. Same principle for services: you are warned before, not after.
Is it really free?
Yes, with no time limit. The Free plan tracks one vehicle, with its mileage tracking table, 12 logged service entries, several attachments per service entry, document management, expense tracking, MOT and service reminders, a report to print or send, and the transfer of the record to the next owner.
No credit card is required to create your record.
Let's be upfront about it: something has to pay for the rest. Some advanced features rely on services we pay for every time they are used. That is the case for automatic reading of a photographed invoice, which fills in the fields for you instead of making you type them. It is also the case for the extra storage space for your documents. These features cost money every time they are used, so they are reserved for paid plans. Everything else, meaning everything that does the job of a maintenance record, is free with no time limit.
Paid plans also come in once you outgrow the Free plan. The Premium plan, EUR 79 per year, does not limit the number of vehicles or the number of service entries. It comes with a free 30-day trial, and can be cancelled at any time.
For private use, the Premium plan does not limit the number of vehicles and never asks you to count. In a professional context, beyond a certain number of vehicles, it stops being about one person and becomes a fleet: that's the Business plan, with its access levels, and it is subscribed to online once your Organisation is set up, with support offered for large fleets.
And if you stop paying: nothing is deleted. Your account switches back to the free plan, and you can still view your records, produce your reports and transfer a vehicle.
Do you track vehicles for a company or an association? The Business plan is built for a fleet.
Maintenance tracking software, with no software to install
There is nothing to download, nothing to update, nothing taking up space. You open your browser, sign in, and your record is there.
On your phone at the garage, on your computer in the evening: it is the same record, updated as soon as you enter something. And if you lose your phone, you lose nothing: your data lives with WheelTrust, not on the device.
The servers are in France and processing complies with GDPR.
How to create your record in 3 steps
- Add your vehicle. Its make, model, number plate, current mileage. Two minutes.
- Log past service entries, even approximate ones. An oil change you can date to the year, even without the exact date, is better than a missing line. You can fill in the details later.
- Add invoices as you go. Each time you visit the garage, you photograph the invoice and attach it to the service entry.
At resale
This is where the record stops being a habit and becomes an argument. You produce a full report, or send a link to the interested party: they read the history, mileage and supporting documents without accessing your account.
Then you transfer the record to the new owner, who continues tracking from where you left off. The transfer is available on all plans, including the free one.

Frequently asked questions
Does an online maintenance record have the same value as a paper one?
Neither one has any particular legal value: no law requires you to keep a maintenance record. What matters, for a garage as for a buyer, is proof of the work: a dated invoice, with the mileage recorded. The online record keeps that invoice attached to the line it supports, which paper does not do.
What happens if I lose access to my account?
Your data does not live in your phone or your computer, but with WheelTrust. You sign back in from any device and find your records intact. If you get stuck, support is available from your account, whatever your plan, including the free one.
Can I carry over the history from an already filled-in paper record?
Yes, it is even the most common case. You copy over each service entry one by one, with its date and mileage, and attach the invoices you kept. For periods with no record, leave them blank: an honest gap is better than an invented line.
Is my data hosted in France?
Yes. The servers are located in France and data processing complies with GDPR. Your sensitive documents, such as the vehicle registration certificate or invoices, are stored with very high-level protection. You can request a full export of your data or the deletion of your account at any time, from your account.
